Is there a cost associated with using this POS integration feature?

Yes. For retailers using the I Heart Jane menu integration, there is a $40/month integration fee. 

For retailers using the I Heart Jane menu and orders integration, there is a $80/month integration fee.

Integration Process Overview

This article will walk you through the necessary steps to successfully activate your Menu integration with Jane (iheartjane). You will complete the following high-level steps (in order) → 

Jane Setup 

1. Requesting your Jane Credentials
  • Send an email to Jane at partnersuccess@iheartjane.com to request your API credentials. You will be requesting the following identifiers:
    • Client ID
    • Client Secret
    • Store ID
  • Jane will send you a consent form to sign. 
  • Once signed and sent back, Jane will share the required credentials with Leafly Support. 
 

Leafly Setup

1. Integration Setup
  • Once the Jane credentials are shared with Leafly, Leafly Support will input your credentials into Leafly Biz. 
  • Note: If you have multiple locations, please list each one separately.

 

Integration Configuration and Settings

Once Leafly has successfully synced your Jane menu with Leafly, there are some options that you can configure the integration and override menu data in Leafly Biz.

These changes will persist in your Leafly menu unless you disconnect and then reconnect your POS and resync your POS menu data.

Default Item Status

On the POS Settings page, automatically set new and restocked items to either active or inactive by default. Items automatically set to inactive status will need to manually be set to active before being visible on online menus.

  • Items set to “Active” will show up on all online menus and be set to “Available for Pick-Up/Delivery” if your store participates in any of Leafly’s order ahead programs.
  • Items set to “Inactive” will be hidden from all online menus and will no longer be “Available for Pick-Up/Delivery” if your store participates in any of Leafly’s order ahead programs.

Inventory Availability Rules

On the POS Settings page, you can set inventory thresholds at both the Global and Category levels. If a threshold is defined, items with inventory counts under the threshold set will be automatically hidden from your online menus. By default, the threshold is set to 1.

Category Mapping 

Leafly currently supports the following categories → Accessory, Seeds, Clone, Flower, Edible, PreRoll, Concentrate, Cartridge, Topical, Other. If your assigned category in your POS and Jane do not align with a predefined Leafly category, it will be assigned a category of Other by default.

You cannot remap or override categories in Leafly. If you need to make changes to the category mapping, these should be handled in Jane.

The table below shows the Leafly Category assigned to your Jane categories / subcategories. The Leafly category is the category that will be shown on your Leafly.com menu.

On the POS Settings page, you can select which calculation method is applied by default to the THC and CBD values coming from your POS menu. More information on the available calculation methods can be found here.

Jane Order Management - Order Integration 

 

1. Pickup Order Settings

You will need to duplicate your Jane online order pickup hours in Leafly by following the steps outlined in this article: Can I set different business hours for Leafly pickup?

  • Once you’ve set your pickup and preordering hours, set the dropdown under Pickup Estimate to set the pickup estimate to be shown to shoppers when an order is placed on Leafly.com.
  • Once you’ve saved your pickup and preordering hours, select Save at the bottom of the page to save your configured settings.

 

2. Order Management in Jane 

This section will walk you through the steps to locate your Leafly orders in your Jane Analytics.

When filtering and under source you will now find the option to choose Leafly as a source option and click “Apply

Scroll down to the final report within Sales to find “Recent Purchase Details” to audit your orders with under the Source Column

I Heart Jane FAQs 

Menu FAQ: 

Is there a cost associated with using this integration?
  • Yes, there is a monthly cost associated with using this integration.
  • For the menu only integration is is $40 per month per location.
  • For menu+ordering integration it is $80 per month per location.
What is the SLA for receiving my Jane credentials after sending the request? 
  • Once requested, you will receive a consent form to sign. Once you sign the form, the required credentials will be shared within 2 business days. 
What is the process and SLA once Leafly receives my Jane API credentials? 
  • Once received, Leafly will enter your API credentials into Leafly Biz and activate the Jane integration for your store(s). The activation will be completed within 2 business days. 
How often does Jane sync with Leafly? 
  • Leafly pulls updates from Jane every 6-10 minutes. However, any changes can take up to 15 minutes to reflect on your menu. 
If I have an existing menu in Leafly, do I need to save it before syncing my POS menu?
  • No. Leafly will automatically save a copy of your maintained menu before connecting. If you encounter any issues with the data, you can quickly revert by disconnecting.

Why is Strain Name not coming over to my Leafly menu? 
  • Jane currently does not expose Strain to Leafly as its own data point.
  • Leafly has implemented a mapping tool to pull the Strain Name from the Product Name if recognized. Based on the process, the results may not be 100% accurate.
Are my subcategories from Jane available in Leafly? 
  • No. Leafly does not support subcategories on products today and has automatically mapped these to the appropriate Leafly category. Any adjustments to your categories must be done within the Jane backoffice.

Can I manually update fields on Leafly Biz that are missing?

Do products on the menu have sales tax associated? 
  • This is dependent on your POS. Post-tax pricing is only available for those using BioTrack as their POS source on Jane
  • Clients can use the tax feature in Menu Manager to set sales and excise taxes at checkout if not already set in Jane POS. To learn more about setting these options, please check out this Help Desk article: Setting up Tax Estimates for your Leafly Menu

Are Dual Menus supported with Jane?

  • No, I Heart Jane medical and recreational menus are not compatible with Leafly's Dual Menu feature and must be displayed on separate Leafly profiles.

Why is Leafly showing something different for Brand or Strain information than what I have in my POS?

  • After Leafly receives a menu payload, we will try to match strain and brand information to existing entries in Leafly's database to cross-link and provide greater visibility for menu items across the platform.

  • Sometimes particular Strains or Brands do not exist yet in Leafly's database. In that case, we are trying to smart-match to the closest available entry. This can result in incorrect links.

  • You have the ability to change or remove incorrect links by editing those fields within your Menu Manager.

Can I make changes to item data on Leafly while my POS integration is active?

  • Yes, with some limitations.
  • You are able to override every menu item field except for the price point. This allows you to update Strain or Brand links or supplement other information like cannabinoid data, photos, or description. Leafly defers to your POS system as the source of truth for item pricing.
  • These manual overrides will persist on items you edit until they go out of stock and fall off your menu entirely.

Ordering FAQ: 

Do I need to be a Leafly Pickup partner + Leafly customer in order to activate the Jane integration? 
  • Yes, at this time, you must be online ordering activated and a current Leafly subscription holer to use the Jane Integration settings. 
Are my Cart Validation settings inherited from Jane for Leafly ordering (e.g., max orders per hour, etc.)?
  • Yes, your cart and checkout validation settings in Jane will be supported on your Leafly orders. 
Will my Store and Pick-up settings be inherited from Jane for Leafly ordering (e.g., store hours, pre-order availability, pick-up hours of operation, etc.)?
  • No, your store hours and pick-up hours will not be inherited for Leafly ordering and will need to be set up in Leafly to match what has been configured in Jane. 
  • Any changes made in Jane after the integration has been activated will not carry over to Leafly, and the updated settings would need to be duplicated in Leafly. 
What functionality on Jane will not be available on Leafly ordering (e.g., coupon codes, advanced discounts, group level discounts, etc.)?
  • Jane promo codes and discounts are not currently supported on Leafly orders.
  • You will need to manually create the discount in Leafly for application to the Leafly order. The carry-through of advanced Jane discounts is planned to be supported in a future release. Will specials I have configured in Jane be honored in the cart for Leafly shoppers?
  • Yes, any specials you have setup in Jane will be honored and displayed to Leafly shoppers once they have navigated to the shopping cart on Leafly.com. 
Once the Jane integration is enabled, will the Leafly Order dashboard be disabled? 
  • Yes. The Leafly Order dashboard will be read-only once the Jane integration is enabled.
  • The Leafly Order dashboard will update order statuses appropriately, but will not be actionable. 
When an order is placed on Leafly, where will the order show up for our retail team to fulfill?
  • Your Leafly orders will now be passed directly into Jane’s native order fulfillment dashboard or your POS if it supports online ordering and has been connected to I Heart Jane.
Will the order show up in my Jane or Leafly analytics, or both?
If the Leafly orders show up in my Jane analytics dashboard, can I distinguish between Jane and Leafly data?
  • Yes, the order source will be defined as Leafly or Jane.
Will orders placed through Leafly print from the Jane printer?
  • Yes, your Leafly orders will automatically print from your Jane printer(s).
  • Leafly order receipts will have an identifying header to indicate they are a Leafly order.
Can I have a separate printer for Jane and Leafly orders?
  • No, you cannot currently print Jane and Leafly orders on separate printers.
  • Leafly order receipts will have an identifying header to indicate they are a Leafly order.
How can I cancel an order? 
  • All cancellations must be performed directly within your POS or the Jane fulfillment dashboard.
  • Your Jane and Leafly Order dashboards will update in the case of cancellations. Leafly shoppers will not be able to cancel their order once it has been submitted. 
Can I provide a cancellation reason? 
  • Cancellation reasons do not currently carry through from the POS or Jane to the Leafly Order dashboard. 

What do I do if there is an Order Integration Outage?

In a time when there is an order integration outage, orders will not flow to your POS and will need to be managed via the Leafly Order Dashboard.

* Leafly will alert you by email and Leafly Biz pop-up if there is an issue with your POS integration connection that impacts Leafly orders flowing to your POS system for fulfillment.

 

There may be 2 types of outages:

Partner Outages and Credential Issues.

  • When a partner outage occurs, a POS vendor has identified a widespread issue impacting one or multiple services within their software. Your POS provider will notify you of any system issues, instability, or outages and keep you updated on their efforts to resolve the problem.

  • When a credentials issue occurs, you will receive a notification stating that invalid credentials are impacting Leafly's ability to send orders to your POS system. This means that some portion of the credentials used are incorrect or invalid.

  • In the event of these issues, you will need to handle orders that do not reach your POS system by using the Leafly Order Dashboard until the problem is fixed. Depending on the seriousness of the issue, some orders may still be successfully transferred to your POS system for fulfillment.
