Process Overview
This article will walk you through the necessary steps to successfully activate your Menu integration with IndicaOnline POS. You will complete the following high-level steps (in order) →
- Set up your sync
- Enter your Leafly API key in IndicaOnline
- Activate and configure your menu sync in Leafly Biz

Field Support Information
- Currently, Strain and Brand are not supported within the POS. You can manually override this data in Leafly Biz.
- ‘Strain Type’ is supported and is sent as Indica, Sativa or Hybrid.
- Products will be sent as “Each” for Variants as multiple variants are not supported within the POS.

If I have an existing menu in Leafly, do I need to save it prior to syncing my POS menu?
- No. Leafly will automatically save a copy of the menu that you maintained before connecting your POS system. If you encounter any issues with the data that is pulled in from your POS, you can quickly revert back by selecting “Disconnect and restore pre-POS connected menu data” when disconnecting the POS and reverting the menu back to its original state. When should I expect to see our Leafly menu up to date after making changes in IndicaOnline?
- Changes within IndicaOnline should automatically sync to Leafly’s menu. Please allow up to 10 minutes for the menus to sync.
Will Strain and Brand data be sent with this sync?
- IndicaOnline does not support ‘Strain’ or ‘Brand’ today. Please reach out to support@indicaonline.com with further questions or you can enter this data manually into your Leafly menu in using our Menu override capabilities in Leafly Biz.
All of my products are being sent as “Each”, is there a way multiple weights for a product can be sent?
- IndicaOnline does not support multiple variants today. Please reach out to support@indicaonline.com with further questions. You cannot override this in Leafly Biz today.
Can I manually update fields on Leafly Biz that are missing?
- With this integration, when you are synced, you can:
- manually select staff picks
- override status of items received from the POS
- items set to “Active” will show up on all online menus and be set to “Available for Pick-Up/Delivery” if your store participates in any of Leafly’s order ahead programs.
- Items set to “Inactive” will be hidden from all online menus and will no longer be “Available for Pick-Up/Delivery” if your store participates in any of Leafly’s order ahead programs.
- set inventory thresholds at a global and category level
- override your POS menu items with your own product photography, descriptions, potency values and more
- If you disconnect and choose to retain data from your last POS sync, any overrides made in Leafly Biz will remain unless a POS is reconnected and resynced to Leafly.
- If you disconnect and choose to restore pre-POS connected menu data, any overrides made in Leafly Biz will not remain and will be deleted.
Do products on the menu have sales tax associated?
- Currently, sales tax is not included in the pricing for products. Clients can update the pricing in their POS or use the Deals module to notify clients.
Can I regenerate my Leafly API key?
- If you need to regenerate your Leafly API key, please contact Leafly support using our Request Form.
Can I deactivate the menu sync?
- Yes, you can disconnect your POS in Leafly Biz. To learn how to disconnect your point of sale, we advise following the instructions in this article: How do I disconnect my point of sale?
Leafly Setup
Menu Tab
- Open your web browser and sign into Leafly Biz → https://business.leafly.com/Admin
- Once on your dashboard, click on the 'Menu' tab (a new window will open)
Menu Settings
- Navigate to your Menu Settings on the Menu page by clicking on the navigation bar in the upper right-hand corner.
- Click on Settings in the drop-down to navigate to your Menu Settings.
POS Settings
- On the POS Settings tab, select 'connect my POS' to begin the integration sync process.
- Select Indica Online from the drop-down options.
- Select 'continue to next step'. Once you do, your Leafly API key will be generated for you to copy.
- Click 'copy' to copy your Leafly API key to share with the IndicaOnline team.
- Note: If a key does not appear, you can click go back and restart the steps outlined above. Your Leafly API key will always be available in your POS Settings tab.

Once copied, click 'continue to next step' to continue the sync process on Leafly Biz.
- Click 'acknowledge and accept' to accept the Data Override Warning and complete the sync process on Leafly Biz.
- You will be taken back to the POS Settings page, with a success message in the upper right corner.
Note: There are steps on the IndicaOnline side to finish this setup and fully activate the sync. The next section will walk you through steps on how to complete this activation with IndicaOnline.
IndicaOnline Setup
Mapping Leafly Categories
To ensure all of your IndicaOnline products are populating correctly on Leafly, you must correctly map the product categories within IndicaOnline. Please note: this will need to be completed first. To do this →
- Log into your IndicaOnline system
- Select Config on the left-hand side
- Select Leafly from the list
- Select Categories from here → map your IndicaOnline categories to your Leafly product category in the drop down.
- Once completed, click Save.
Leafly currently supports the following categories: Accessories, Seeds, Clone, Flower, Edible, PreRoll, Concentrate, Cartridge, and Topical. All others will be mapped to the Other category.
Configuring Menu Sync
Once you update and/or confirm your categories are mapped properly, you can then configure the Leafly API key →
- Select Config
- Select Leafly
- Select the Synchronization tab
- Paste your Leafly API key on the Synchronization page
- Select Save
Since products on the menu are synced based on the quantity in a special location, each office will have a separate field to paste API keys (each location will sync separately).
Changes within IndicaOnline should automatically sync to the Leafly menu. Please allow up to 10 minutes for the menu to sync.
- If you would like to manually push the data, you can do so by clicking the Sync Menu button from the Synchronization tab. Note: Always click Sync Menu after changing the product category to update your Leafly menu.
- Make sure the option Sync Out Of Stock Products is unchecked, so that your out of stock products are not shown on Leafly (on your computer navigate to Config → Leafly → Synchronization).
- If a product runs out of stock, it will be hidden on Leafly's end within 5 - 7 minutes.
- Click Erase Menu to unpublish all the products being currently displayed on your Leafly page. Keep in mind that IndicaOnline does not erase your products from your Leafly account on a permanent basis.
- If you want to reactivate the sync, just click the Sync Menu button again.
- Make sure to press the blue Save button to reflect the changes you have made.

Once you have set up your configuration, you can then go to your products (via web browser or iPad) and confirm pricing + mark the products you want to show on Leafly.
On the web, go to the menu →
- Select Inventory
- Select Product List
- Locate and select applicable product
- Click on the Actions dropdown on the top, right-hand side
- Select Edit Product to update the existing product
- Update Show On Leafly toggle

Once you have set up your configuration, you can then go to your products (via web browser or iPad) and confirm pricing + mark the products you want to show on Leafly.
On iPad, go to your menu →
- Select Inventory
- Select Product List
- Locate and select applicable product
- Select Edit Product to update as desired
- Update Show On Leafly toggle

Note: when creating new products, IndicaOnline advises to use your computer/web.
To do this →
- Select Inventory
- Select Add New Product On the new product page, you will see Show On Leafly under the Other Information section.
Confirming Pricing (weight measurement)
In order to see the correct prices being displayed on Leafly, make sure to set them properly in your IndicaOnline account. Weight products show on Leafly the prices for 1g | 1/8oz | 1/4oz | 1/2oz | 1oz exactly as you enter them in the product profile.

In order to see the correct prices being displayed on Leafly, make sure to set them properly in your IndicaOnline account. Although your weight products may have different weight ranges in IndicaOnline, Leafly currently reflects the price for the minimum gram value of the first range only.
Leafly Configuration (post-POS sync)
Once you have successfully synced your Indica Online menu with Leafly, you can configure the integration and override menu data in Leafly Biz. These changes will persist in your Leafly menu unless you disconnect and then reconnect your POS and resync your POS menu data. This section will walk you through the configuration available in Leafly Biz today.
Default Item Status
On the POS Settings page, automatically set new and restocked items to either active or inactive by default. Items automatically set to an inactive status will need to manually be set to active before being visible on online menus.
- Items set to “Active” will show up on all online menus and be set to “Available for Pick-Up/Delivery” if your store participates in any of Leafly’s order ahead programs.
- Items set to “Inactive” will be hidden from all online menus and will no longer be “Available for Pick-Up/Delivery” if your store participates in any of Leafly’s order ahead programs.
Inventory Availability Rules
On the POS Settings page, you can set inventory thresholds at both the Global and Category levels. If a threshold is defined, items with inventory counts under the thresholds set will be automatically hidden from your online menus. By default, the threshold is set to 1.
Inventory Exclusion Rules
On the POS Settings page, you can permanently exclude inventory from appearing on your online menus. You can set exclusions by keywords and categories.
Category Mapping
We currently support the following categories → Accessory, Seeds, Clone, Flower, Edible, PreRoll, Concentrate, Cartridge, Topical, Other. If your POS assigned category does not align with a predefined Leafly category, it will be assigned a category of Other by default. Remap categories as desired on the POS Settings tab once your Indica Online menu is successfully synced to Leafly.
