Bulk Product Upload for Brands

This article will provide an overview of how to use the bulk product upload feature for Brands within Leafly Biz.

 

Before Getting Started

Before you begin uploading your products by bulk upload, you’ll first need to get your products into a CSV spreadsheet. You can start with a copy of the template provided. Please take time to review what fields are required to publish a product, and how to indicate if the product already exists in your catalog to avoid duplication.

The bulk upload feature utilizes a templated CSV spreadsheet to upload new products and update existing products. You must use this template in order for the bulk upload feature to work. Different templates will result in an error.

 

Product Requirements

Within the template, there are required and optional fields for related product data. Requirements differ between new products and updates for existing products. Below are all of the fields included in the CSV and if they are required to publish the product, along with a description of what the fields should contain.

  • Leafly ID: This detail can be obtained by performing a bulk export in Brand Biz. Leafly IDs are only in place for existing products in the brand’s product catalog in Brand Biz. 
  • Product Name: This field should be unique 
  • Description: Descriptions have a 30 word minimum 
  • Category: Make sure you select from the options available in the template.
  • Subcategory: Make sure you select from the options available in the template.
  • Strain: Optional
  • SKU: Optional 
  • Country Availability: US or CA. If the product is available in both countries, select both from the drop-down options.
  • State/Province Availability: Select any applicable states using the drop-down options.
  • Image URLs: 
    • File Type: jpg, png, bmp, tiff, or webp
    • Aspect ratio: 1:1 square
    • Min dimensions: 1024x1024
    • Max file size: 15MB

Creating New Products 

Enter all required fields in the spreadsheet based on the product requirements above to ensure your product information can be imported into Leafly. For any new products, leave the Leafly ID field blank, this field is only required for existing products in your catalog.

Leafly will check for uniqueness of new products by reviewing each product’s name, category, subcategory and country and state/province availability. If duplicate products are found in the same spreadsheet, we will not import them

Please Note: These will not be cross referenced with your existing catalog, so be sure to review how to update existing products below. 

 

Updating Existing Products

If you are including updates to products that already exist in your Leafly product catalog, you must include the corresponding Leafly ID for the product in the spreadsheet. The Leafly ID ensures products will not be duplicated during the import process. If you do not include the Leafly ID, a duplicate product will be created. 

You can find a product’s Leafly ID by clicking on the product in your product table, the Leafly ID will be at the top. If you need to pull Leafly IDs for several products, this data can be exported in bulk using the Bulk Product Export feature.  

Please Note: If you are updating a product, the information in this spreadsheet will override all data for the product in Leafly Brand Biz rather than append information. This means that if you leave a field blank in the template, the blank value will override any existing product data when updating.

 

Getting Started

Step 1: Fill out the CSV Template

Fill out the bulk upload template. The template will be accessible to make a copy of when you first get into the bulk upload flow by navigating to Products then clicking the Bulk Upload button:

Once the template opens, you'll want to save a copy to your local computer to continue editing.

You must have this filled out before you attempt to proceed.

Depending on whether you are creating new products or updating existing products, not all fields are required. Please make sure to review the product requirements section before you begin adding information to the template.

Please Note: Be sure to save your copy of the template as a .csv file or else the upload will fail.

 

Upload Your File

Find the button located in the top right corner of the Products page in Brand Biz as seen below:

 

  • Click the Upload Template button.
  • Your computer operating system will open a file explorer pop-up. Navigate to the folder where you previously saved your completed .CSV template.
  • Select your .CSV file, then click Open.

Continue to the next section for directions on how to set the publishing status for any new products created using the bulk upload tool.

 

Setting Publishing Status for New Products 

When using the bulk upload tool, you have two options for publishing status: Draft or Published.

Save as Draft

  • Draft: This will save your item as a draft and will not be public-facing. This allows you time to make any changes before going live with that item.
    • Please Note: Draft products have fewer required fields to create since they are not public-facing.

Save as Published

  • Publish: This will instantly publish your item to your brand page and is public-facing.
    • Please Note: You can select to have your products fall back and be created as drafts if they do not meet the published criteria for some reason. 

If you have not included any new products in your bulk upload spreadsheet, you still need to choose between draft and published to proceed. If there are no new products in your spreadsheet, you may select draft and the setting will be ignored.

 

Setting the Report Destination for Bulk Uploads 

When your bulk upload is complete, Leafly will send a report summarizing the upload's performance. You can choose to have this report sent to:

  • All admins associated with your Brand Biz account.
  • Up to five specific email addresses of your choice.
  • Both account admins and the additional email addresses.

Please Note: At least one email address must be specified before you can proceed with the import process.

 

Monitoring Bulk Upload Progress 

During a bulk upload, a banner will appear at the top of your Product table in Brand Biz, indicating that the upload is in progress.

This banner will appear to all admins who view the Products page while the upload is occurring.

While this upload is processing:

  • You will not be able to start another bulk upload.
  • The bulk import button will be temporarily hidden.
  • We recommend avoiding any changes to products in your Product table, especially those included in the upload, to ensure data accuracy.

Once the bulk upload is complete, the banner will automatically update with a summary of the upload's success.

Additionally, the full upload details will also be sent to the email addresses you specified earlier. Please review this report for any products that were not successfully uploaded, correct the missing data, and try uploading them again.
