This article will guide you through the steps to activate Menu integration with POSaBIT.  Before syncing, we advise that you review the POSaBit <> Leafly FAQs.

Generating your API Key in Leafly

Step 1: Accessing your Leafly Integration Settings

  • Open your web browser and sign in to Leafly Biz → https://business.leafly.com
  • Navigate to the left side panel, and click on the 'Settings' arrow
  • A drop-down will appear. Select the 'Integrations' option.

Step 2: Initiating the Sync

  • Select 'connect my POS' to begin the integration sync process. 
  • Under POS System, select the drop-down to find POSaBIT
  • Select continue to next step.

  • Click 'copy' to copy your Leafly API key.
  • Once copied, click 'continue to next step' to continue the sync process on Leafly Biz.

  • Click acknowledge and accept to accept the Data Override Warning and complete the sync process on Leafly Biz.

You will be taken back to the POS Settings page, with a success message in the upper right corner. Please continue with the steps below.

Step 1: Preparing Your Products for Display

Before diving into the integration process, it's crucial to ensure that every product you wish to feature on your Leafly menu includes accurate strain and brand details under the product information. Missing strain or brand information can result in products not appearing on your Leafly menu. If any of these attributes are missing, you'll find a clear indication of which field is lacking in the product preview. Access this preview through the Menu Feed Categories page as seen below.

Step 2: Menu Feed Configuration

Follow these simple steps to complete the integration: 

  • Access the POSaBIT POS Portal.
  • Click on "Inventory" in the menu bar and select the "Menu Feeds" tab.
  • Create a New Menu Feed:
    • Click the "New Menu Feed" button and fill in the necessary information, including:
      • Name: Give your menu feed a relevant title (e.g., "Leafly Menu").
      • Description: Provide details about the integration (e.g., "Leafly Integration").
      • Feed Type: Choose "Leafly."
      • Feed Key: This field is automatically populated for you.
      • Products Sorting: Select how you want your menu to be sorted (Name asc (a-z), name desc (z-a), price asc ($-$$$), price desc ($$$-$)).
      • Client Key: Enter the Leafly API key obtained from the Leafly portal.

Step 3: Setting up your Categories

It is important to update your categories properly to ensure that items are synced over to Leafly correctly. If you fail to do so, categories may not sync over to Leafly. You should repeat every step for each menu category you want to create. Please confirm the following:

  • Name: Name of menu category.
  • Description: This is displayed below the category name on your online menu.
  • Display Order: The order it will be at shown at on the menu in comparison to other categories.
  • Template Name: Choose whether you want products on your menu to be listed by product name or by the product strain (strain is recommended for naming consistency).
  • Product Types: Select all product types that apply to that category.
  • Lineages: Lineages that will be included in that category.
  • Concentration Types: Types of concentrations that apply to that category.
  • Product Tags: This can be used if you use tags to group your products and want to create a category of those tagged products (i.e. you could have a menu category called "Featured Products" and tag all products that you'd like to "feature" on your menu).
  • Quantity More Than: This is the minimum number of units on hand that determines if the product appears on the online menu or not. Once the on-hand quantity for any given product reaches this number the product will automatically be removed from the menu. This is to prevent the store from selling something online that they ran out of because it was first sold to someone else in-store.
  • Combine weights?: This box should be checked to consolidate the various flower weights that the store carries under one product vs. displaying the various flower weights as separate products on the online menu.

Leafly Configuration (post-POS sync)

Once you have successfully synced your POSaBIT menu with Leafly, you can configure the integration and override menu data in Leafly Biz. These changes will persist in your Leafly menu unless you disconnect and then reconnect your POS and resync your POS menu data.

Default Item Status

On the POS Settings page, you can automatically set new and restocked items to either active or inactive by default. Items automatically set to inactive status will need to manually be set to active before being visible on online menus.

Items set to inactive will be hidden from all online menus and cannot be added to online orders.

Inventory Availability Rules

On the POS Settings page, you can set inventory thresholds at both the Global and Category levels. If a threshold is defined, items with inventory counts under the threshold set will be automatically hidden from your online menus. By default, the threshold is set to 1.

Inventory Exclusion Rules

On the POS Settings page, you can permanently exclude inventory from appearing on your online menus. You can set exclusions by keywords and categories.

Cannabinoid Calculation

On the POS Settings page, you can select which calculation method is applied by default to the THC and CBD values coming from your POS menu. More information on the available calculation methods can be found here.

Please note: The THCA Only and CBDA Only settings options are unavailable for this integration.

Is there a cost associated with this integration? 

  • No, there is no additional cost associated with turning on this integration.
Who should I contact with menu sync issues?
  • Please contact POSaBIT support (support@posabit.com or 1-855-767-2248). If issues need to be escalated to Leafly to investigate, their team will reach out.

If I have an existing menu in Leafly, do I need to save it prior to syncing my POS menu?

  • Changes made in POSaBIT will automatically sync to Leafly’s menu. Please allow up to 15 minutes for the change to appear. 

Can I manually update fields on Leafly Biz that are missing?

Why is Leafly showing something different for Brand or Strain information than what I have in my POS?
  • After Leafly receives a menu payload, we will try to match strain and brand information to existing entries in Leafly's database to cross-link and provide greater visibility for menu items across the platform.
  • Sometimes particular Strains or Brands do not exist yet in Leafly's database. In that case, we are trying to smart-match to the closest available entry. This can result in incorrect links.
  • You have the ability to change or remove incorrect links by editing those fields within your Menu Manager.

Can I make changes to item data on Leafly while my POS integration is active?

  • Yes, with some limitations.
  • You are able to override every menu item field except for the price point. This allows you to update Strain or Brand links or supplement other information like cannabinoid data, photos, or description. Leafly defers to your POS system as the source of truth for item pricing.
  • These manual overrides will persist on items you edit until they go out of stock and fall off your menu entirely.

Will my Leafly Deal pricing sync to my POS via the order integration?

  • No. At this time, you will need to replicate the deal in your POS and apply it to any applicable items in Leafly-sourced orders once you begin filling them in your POS system.

Where do I upload my photos?
  • POSaBIT does not currently support photo uploads to menu feeds. You are able to manually upload images via Leafly Biz (after the next sync,these images will remain). If you run into an issue where images are disappearing, please reach use our Request Form to contact our Support Team
Can I deactivate the menu sync?
  • Yes, you can disconnect your POS in Leafly Biz. To learn how to disconnect your point of sale, we advise following the instructions in this article: How do I disconnect my point of sale?
Do products on the menu have sales tax associated?
