Square Menu Integration Guide

 

This guide outlines the key steps to successfully activate your menu integration with Square. Follow the steps below in order to complete the setup process:

Connect Leafly with Square

 

Before getting started...

  • It is recommended to log in to your Square account in a separate tab before beginning setup steps.
  • This will allow you to bypass logging into Square during setup steps and proceed immediately to confirming necessary permissions.
  • Further, this will allow you to quickly check your work and ensure setup was successful within Square.

Accessing the Integration Settings in Leafly Biz

 

Integration Setup - Select POS in Biz

  • Click on the Connect my POS option once on the Integration Settings page:
  • Choose Square from the drop-down
  • Select 'continue to the next step' to proceed to the next screen

 

Integration Setup - Get Connected in Biz

  • Click 'acknowledge and accept' to accept the Data Override Warning and complete the connection setup in Leafly Biz.

  • You will be automatically redirected to your Square account to complete the integration setup steps after clicking 'acknowledge and connect'

Integration Setup - Square Permissions Setup

  • After clicking 'acknowledge and connect', you will be redirected to a Square login page.
  • Once logged in, you will be redirected to a page to grant permissions to Leafly to fetch menu data from square.
  • Please note: The permissions you will need to grant are pre-populated on this page.

  • Click Allow to proceed.
  • You will be taken back to the POS Settings page with a success message in the upper right corner and POS Status of Connected. Your POS menu data will now begin to pass to Leafly.

Integration Setup - Square Permissions Validation

  • To validate your Square permissions were successfully granted, log in to your Square account.
  • Once logged in, navigate to Settings --> App Integrations

  • On the App Integrations page, locate the Application section.
  • If you successfully granted permissions, you will see a gear icon, the name of the Leafly connection, and a timestamp containing the date you connected to your Leafly menu.

Please Note: Disconnecting the integration within Square is not currently supported. You must disconnect from within Leafly Biz.


Configure Leafly Settings After POS Sync

After successfully syncing your Square menu with Leafly, you can customize the integration and override menu data directly within Leafly Biz. Our team highly suggests running through your Leafly Integration Settings to make sure you are all set with how your menu data is presented on your storefront listing.

Leafly Integration Settings

Default Item Status

On the POS Settings page, you can choose whether new and restocked items are automatically set to Active or Inactive by default.

  • Active items will appear on all online menus and will be marked as "Available for Pick-Up/Delivery" if your store is enrolled in Leafly’s order-ahead programs.

  • Inactive items will be hidden from all online menus and will not be available for Pick-Up/Delivery, even if your store participates in those programs.

If an item is set to Inactive by default, you’ll need to manually switch it to Active before it becomes visible to customers online.

Category Mapping

Leafly currently supports the following product categories: Accessory, Seeds, Clone, Flower, Edible, PreRoll, Concentrate, Cartridge, Topical, and Other.

If your POS uses a category that doesn’t match one of Leafly’s predefined categories, it will automatically default to Other. Once your menu is successfully synced, you can review and remap categories as needed within the POS Settings tab to ensure your products appear correctly on your Leafly menu.

Inventory Availability Rules

You have the ability to set inventory thresholds at both the Global and Category levels. When a threshold is defined, any items with inventory counts below that value will be automatically hidden from your online menus. By default, this threshold is set to 1, meaning items with a quantity of 0 will not display. You can adjust these settings to better reflect your menu visibility preferences.

Inventory Exclusion Rules

You can permanently exclude specific inventory from appearing on your online menus by setting exclusions based on keywords or categories. This allows you to control which items are visible to customers.

Room Exclusion

Within the POS Settings page, you can exclude inventory located in specific POS “Rooms” that you don’t want displayed on your online menu. This allows you to control visibility based on how your inventory is organized in your POS system.

Is there a cost associated with this integration? 
  • No. There is no cost associated with using the Leafly <> Square integration.

 

How often does Square sync with Leafly? 

  • Leafly syncs updates from Square every 6 minutes, but please note that it may take up to 15 minutes for those changes to appear on your menu.
  • To manually resync your Square menu with Leafly, click the resync now button beneath the Last sync timestamp:

 

If I have an existing menu in Leafly, do I need to save it prior to syncing my POS menu? If I have existing deals setup on Leafly, will I need to update them after I set up this integration?  

  • No - Leafly will automatically save a copy of your maintained menu before connecting. If you encounter any issues with the data, you can quickly revert by disconnecting. If you need to disconnect your integration, we advise following the instructions in this article: How do I disconnect my point of sale?
  • Yes - Deals will be referencing the menu items you have since removed and deals will need to have menu items associated with your new menu added to them. 

     

What fields do you pull data from in Square?

Item Name

Item Name - Variant Name  

Category Type

Last Category within item category tree Square provides a category tree for products. Leafly uses the lowest/last category provided for items.

Strain Name

N/A Inferred from the Item Name. If a strain exists in the Leafly strain database, we will try to link products to it.

Brand Name

N/A Inferred from the Item Name. If a brand exists in the Leafly brand catalog, we will try to link products to it.

Compound Data (THC + CBD)

N/A This information is not available from Square.

Description

Description This will be the plaintext description field.

Image 1 This will be the first image that Square returns for the item.

Price

Variant Pricing + Tier Unit Leafly currently only supports METRIC_GRAM  units. These will be assigned  g measurements on the Leafly menu. Non METRIC-GRAM items will be shown as price per each.

 

Why aren't cannabinoids showing on my Leafly menu? 

  • Square does not provide cannabinoid information via their API endpoints.
  • As a work-around, we recommend adding cannabinoid information to item names or descriptions in order to provide shoppers with the most information.

 

Can I manually update fields on Leafly Biz that are missing?

 

Can I make changes to item data on Leafly while my POS integration is active?

  • Yes, with some limitations. You can override every menu item field except for the price point. This allows you to update Strain or Brand links or supplement other information like cannabinoid data, photos, or descriptions. Leafly defers to your POS system as the source of truth for item pricing.
  • These manual overrides will persist on items you edit until they go out of stock and fall off your menu entirely.

 

Do products on the menu have sales tax associated?

  • Currently, sales tax is not displayed on the Leafly menu. 

  • Clients can use our tax feature in the Menu Manager Settings Biz to set sales and excise taxes in checkout. Learn more about setting these options in our article: Setting up Tax Estimates for your Leafly Menu

 

Why is Leafly showing something different for Brand or Strain information than what I have in my POS?

  • After Leafly receives a menu payload, we automatically attempt to match strain and brand information to existing entries in our database. This cross-linking helps enhance the visibility of your menu items across the Leafly platform. However, in some cases, a specific strain or brand may not yet exist in our system. When that happens, our system uses smart-matching to link to the closest available entry, which can occasionally result in incorrect associations.
  • If you notice any mismatched or inaccurate links, you can easily update or remove them by editing the strain or brand fields directly within your Menu Manager. Review either of these articles: Manually Linking Strains on your Leafly Menu or Manually Linking Brands to your Menu Items
