Menu Integration Setup Guide
This guide outlines the key steps to successfully activate your menu integration with Dutchie. Follow the steps below to complete the setup process:

Your POS Setup
1. Obtaining/requesting your DutchieCredentials
To get your credentials, please use this website to request your credentials: https://dutchie.webflow.io/request-api-key#demo
2. Setting up the E-Commerce Room
You will need to ensure your rooms are listed correctly within Dutchie. To do so, access the Rooms settings with your Dutchie Back Office and make sure the following settings are updated:
- Is E-Commerce Room? the field selected as yes
- Room Accessible by Menus field has Leafly selected
Please note: You do not have to create a new room specifically for the Leafly integration. Simply adjust the visibility settings on the room(s) with the inventory you wish to sync to Leafly.
Leafly Setup & Completing your Sync
Accessing the Integration Settings
- Log in to your Leafly Biz Dashboard
- Click on the 'Settings' arrow
- Select the 'Integrations' option.
Integration Setup - Select POS
- Click on the Connect my POS option once on the Integration Settings page:
- Choose your POS from the drop-down
- Select continue to next step to proceed to the next screen
Integration Setup - API Setup
- Enter your POS credentials that have been provided to you and click 'test connection' to confirm that the API credentials are valid.
- Once you’ve successfully tested your credentials, click 'continue to next step'
Integration Setup - Get Connected
- Click 'acknowledge and accept' to accept the Data Override Warning and complete the sync process on Leafly Biz.
You will be taken back to the POS Settings page with a success message in the upper right corner and POS Status of Connected. Your POS menu data will now begin to pass to Leafly.
At all times, you can preview your connection status from your Integrations Page, along with the number of items and last sync period:
Configure Leafly Settings After POS Sync
After successfully syncing your Dutchie menu with Leafly, you can customize the integration and override menu data directly within Leafly Biz. Our team highly suggests running through your Leafly Integration Settings to make sure you are all set with how your menu data is presented on your storefront listing.

| Default Item Status |
On the POS Settings page, you can choose whether new and restocked items are automatically set to Active or Inactive by default.
If an item is set to Inactive by default, you’ll need to manually switch it to Active before it becomes visible to customers online. Article: Default Item Status |
| Category Mapping |
Leafly currently supports the following product categories: Accessory, Seeds, Clone, Flower, Edible, PreRoll, Concentrate, Cartridge, Topical, and Other. If your POS uses a category that doesn’t match one of Leafly’s predefined categories, it will automatically default to Other. Once your menu is successfully synced, you can review and remap categories as needed within the POS Settings tab to ensure your products appear correctly on your Leafly menu. | Inventory Availability Rules |
You have the ability to set inventory thresholds at both the Global and Category levels. When a threshold is defined, any items with inventory counts below that value will be automatically hidden from your online menus. By default, this threshold is set to 1, meaning items with a quantity of 0 will not display. You can adjust these settings to better reflect your menu visibility preferences. | Inventory Exclusion Rules |
You can permanently exclude specific inventory from appearing on your online menus by setting exclusions based on keywords or categories. This allows you to control which items are visible to customers. Article: Excluding Items from your POS |
| Room Exclusion |
Within the POS Settings page, you can exclude inventory located in specific POS “Rooms” that you don’t want displayed on your online menu. This allows you to control visibility based on how your inventory is organized in your POS system. |
| Cannabinoid Calculation |
On the POS Settings page, you can select which calculation method is applied by default to the THC and CBD values coming from your POS menu. More information on the available calculation methods can be found here. Article: Customizing your cannabinoid values on your Leafly menu |

What is the SLA for receiving your credentials from Dutchie?
- To obtain your API Key, use this form to connect with Dutchie: https://dutchie.webflow.io/request-api-key#demo
- You should receive these credentials within 48 hours (not including weekends). For any issues obtaining your API key, please reach out to possupport@dutchie.com for further assistance.
How often does Dutchie sync with Leafly?
- Leafly pulls updates from Dutchie every 6-10 minutes. However, any changes can take up to 15 minutes to reflect on your menu.
- You can force a sync within your Leafly Integrations Settings page and click the resync now button.
If I have an existing menu in Leafly, do I need to save it prior to syncing my POS menu?
- No - Leafly will automatically save a copy of your maintained menu before connecting. If you encounter any issues with the data, you can quickly revert by disconnecting. What fields do you pull data from in Dutchie POS?
- Product Name: Leafly will pull data from the online title field, but if there is no value present - we will fall back to the product name on the menu item
- Compounds (THC/CBD): Leafly automatically pulls THC and CBD data from your lab results. If the THC and THCA fields are empty, we’ll use the value from the THC-D9 field instead. If no data is available in any of these fields within your lab results, we’ll fall back to the values listed in the product details.
- Description: Leafly will pull data from the online description field, but if there is no value present - we will fall back to the description on the menu item.
Can I manually update fields on Leafly Biz that are missing?
- Yes, with some limitations. You can override every menu item field except for the price point. This allows you to update Strain or Brand links or supplement other information like cannabinoid data, photos, or descriptions. Leafly defers to your POS system as the source of truth for item pricing.
- These manual overrides will persist on items you edit until they go out of stock and fall off your menu entirely.

Do products on the menu have sales tax associated?
- Currently, sales tax is not displayed in the Leafly menu.
- Clients can use our tax feature in the Menu Manager Settings Biz to set sales and excise taxes in checkout. To learn more about setting these options, please check out this Help Desk article: Setting up Tax Estimates for your Leafly Menu
Are Dual Menus supported for the Dutchie POS?
- Yes - items need to be tagged as either medical, recreational, or both. For more information on Dual menus, please read: Learn More - Dual Menus
Why is Leafly showing something different for Brand or Strain information than what I have in my POS?
- After Leafly receives a menu payload, we automatically attempt to match strain and brand information to existing entries in our database. This cross-linking helps enhance the visibility of your menu items across the Leafly platform. However, in some cases, a specific strain or brand may not yet exist in our system. When that happens, our system uses smart-matching to link to the closest available entry, which can occasionally result in incorrect associations.
- If you notice any mismatched or inaccurate links, you can easily update or remove them by editing the strain or brand fields directly within your Menu Manager. Review either of these articles: Manually Linking Strains on your Leafly Menu or Manually Linking Brands to your Menu Items.
Will my Leafly Deal pricing sync to my POS via the order integration?
- No. At this time, you will need to replicate the deal in your POS and apply it to any applicable items in Leafly-sourced orders once you begin filling them in your POS system.
